Exchange Server/Servers and databases
Overview
This article describes how to manage the Exchange Server itself and the database.
Typically, you don't need to change these settings for Exchange Server and the database.
Prerequisites
- The account used to operate must have appropriate roles to manage the server.
Manage a server

Log in to the Exchange Admin Center and navigate to servers → servers.
Select a server and click Edit(✏️).
General settings

You can enter the product key to license this server on this page.
You can also change the product key to upgrade the server.
Database and DAGs settings

This page shows the information of the database and Database Availability Groups (DAGs).
To edit them, see Database Availability Group (DAG).
POP3 settings

- Message MIME format
- Use the drop-down box to select a MIME format.
- Message sort order
- Use the drop-down box to select a sort order
- Logon method
- For security, select Secure TLS connection.
- Banner string
- Customize the message when users sign in to their mailbox using POP3.
- TLS or unencrypted connections
- Set the IP address and port settings for TLS or unencrypted POP3 connections.
- Secure Sockets Layer (SSL) connections
- Set the IP address and port settings for SSL POP3 connections.
- Time-out settings
- Set a time to wait before closing idle authenticated or unauthenticated connections.
- Connection limits
- Set connection limits of POP3.
IMAP4 settings

- Message MIME format
- Use the drop-down box to select a MIME format.
- Logon method
- For security, select Secure TLS connection.

- Customize the message when users sign in to their mailbox using IMAP4.
- TLS or unencrypted connections
- Set the IP address and port settings for TLS or unencrypted IMAP4 connections.

- Set connection limits of IMAP4.
Unified messaging settings
Note:
Unified messaging settings are unavailable on Exchange Server 2019.
DNS lookups settings

Manually configure DNS server IP addresses for internal and external DNS lookups.
Transport limits settings

- Retries
- Set the outbound connection retry timeout, interval, and attempts.
- Message expiration
- Set the message expiration time.
- Notifications
- Notify the sender if mail delivery is delayed beyond a certain time.
- Outbound connection restrictions
- Set the maximum concurrent connections.
Transport logs settings

Enable or disable the logging for message tracking and connectivity.
Set a path for the logs.
Outlook Anywhere settings

Specify the internal and external host name, and the authentication method for Outlook Anywhere.
- Allow SSL offloading
- In some cases, the amount of processing done to encrypt and decrypt data can prove processor intensive. Enable SSL offloading can improve the performance of the Exchange server by transferring that processing to an external server or device.
Create a database
Note:
Create a database to store emails for some recipients to avoid oversizing the original database.

Log in to the Exchange Admin Center and navigate to servers → databases.
Click Add(➕) to create a database.
Enter the database name, and select a server for this database.
If needed, you can customize the database file path and log file path.
- Mount this database
- Mount the database immediately after creating this database.

Click Save to confirm and create this database.
Use the following command to restart the Microsoft Exchange Information Store service:
Restart-Service MSExchangeIS
Manage a database
Note:
You can manage the database anytime you need it.
Select a database and click Edit(✏️).
Maintenance settings

- Journal Recipient
- Click Browse to specify a recipient to enable journaling on this mailbox database.
- Maintenance schedule
- The list shows the preset maintenance schedules.
- Click Customize to configure a custom schedule.
- Enable background database maintenance (24 x 7 ESE scanning)
- Enable online database scanning, which runs continuously in the background.
- It can verify the database and try to scan for lost space on the database and recover it.
- Don't mount this database at startup
- Prevent Exchange from mounting this database when it starts.
- This database can be overwritten by a restore
- Allow the database to be overwritten during a restore process.
- Enable circular logging
- Check to enable circular logging.
Limits settings

Specify the storage limits, the warning message interval, and the deletion settings for this mailbox database.
- Issue a warning at (GB):
- Warn the user if their mailbox is approaching the storage limit.
- Prohibit send at (GB):
- Prevent users from sending new emails after their mailbox size reaches the specified limit.
- Prohibit send and receive at (GB):
- Prevent users from sending and receiving emails after their mailbox size reaches the specified limit.
- Keep deleted items for (days):
- Set the number of days that deleted items are retained in a mailbox.
- Keep deleted mailboxes for (days):
- Set the number of days that deleted mailboxes are retained.
- Don't permanently delete items until the database has been backed up:
- Prevent mailboxes and email messages from being deleted until after the database has been backed up.
