Exchange Server/Users and groups

Overview

An email address is required for emails to be sent and received by a recipient.

You can also create a group to send messages to more than one recipient.

To manage the user or group mailboxes, refer to Manage users and groups.

Prerequisites

  • The account used for operation must have appropriate roles to manage the server.

Create a user mailbox

 Note:
Before proceeding, creating a new user in the Active Directory Users and Computers (ADUC) is highly recommended.

Log in to the Exchange Admin Center and navigate to recipients → mailboxes.

Click Add(➕) and select User mailbox.

  • Existing user
    • Query the Active Directory domain to search and select the user.
    • Click Browse... to select a user.
  • New User
    • Fill in the information to create a user and its mailbox.
    • Settings marked with an asterisk * are required.

 Note:
You can click More options... to configure the following additional settings

  • Mailbox database
    • Click Browse to select a mailbox database to hold the mailbox.
  • Create an on-premises archive mailbox for this user
    • Create an archive mailbox for the mailbox.
    • Click Browse to select a mailbox database to hold the archive mailbox.
  • Address book policy
    • Apply an address book policy for the mailbox.
    • Address book policies (ABPs) can limit the scope of the address list that users can view.

Click Save to save the changes and create the mailbox.

Create a group

Log in to the Exchange Admin Center and navigate to recipients → groups.

Click Add(➕) and select a type of group.

  • Distribution group
    • Can be used only to distribute messages.
  • Security group
    • Can be used to distribute messages and grant access permissions to resources in Active Directory.
    • Select this by default.
  • Dynamic distribution group
    • A distribution group includes all recipients with attribute values that match its filter.
  • Display name
    • Enter a friendly name so that users can identify easily.
  • Alias
    • Use to generate an email address for this group.
  • Notes
    • Add notes for the mailbox, optional.
  • Organizational unit
    • Scope recipients in an OU, optional.
  • Owners
    • Group owners can modify the group properties, and add or remove members.
    • If you selected the dynamic distribution group, you can only specify one owner.
  • Members
    • Add or remove group members.
    • If you select the dynamic distribution group, you will use rules to configure recipients.
  • Owner approval is required
    • Enable approvals for users to join or leave the group, optional.

Click Save to save the changes and create the mailbox.
